Non-Exempt (Hourly) Open Positions

From working with horse registrations, to production and processing of paperwork, to accounting, to customer care and much more, there are a variety of Non-Exempt positions available at AQHA. Much of the horse paperwork that is completed for members and owners on a day-to-day basis is completed by Non-Exempt employees. These employees make up more than two-thirds of the AQHA workforce. Depending on the area of the position, there are a variety of position levels and much room for advancement and promotion opportunities.

 

Accounting Specialist Part-time

AQHA is currently seeking an accounting specialist to work part time for the accounting department located in our international headquarters in Amarillo, Texas.

Position Summary:

Compute, classify, and record numerical and financial data consistent with a manufacturing business, including completing billing activities, processing payments and cash receipts, preparing journal entries, and reviewing transactions within accounts to ensure accuracy.  Analyze financial information and prepare financial reports to determine or maintain record of assets, liabilities, profit and loss, tax liability, or other financial activities within the programs run by Awards Recognition Concepts LLC (ARC). May also check the accuracy of figures, calculations, and postings pertaining to business transactions recorded by other workers.

Essential Functions:

  • Operate computers programmed with accounting software to record, store, and analyze information.
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
  • Prepare, examine, or analyze accounting records, financial statements, or other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards.
  • Debit, credit, and total accounts on computer spreadsheets and databases, using specialized accounting software.
  • Operate 10-key calculators, keyboards, and copy machines to perform calculations and produce documents.
  • Receive, record, and bank cash, checks, and vouchers.
  • Develop, maintain, and analyze budgets, preparing periodic reports that compare budgeted costs to actual costs.
  • Perform inventory control and analysis for Award Recognition Concepts.
  • Comply with federal, state, and company policies, procedures, and regulations.
  • Compile statistical, financial, accounting or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses.
  • Reconcile or note and report discrepancies found in records.
  • Access computerized financial information to answer general questions as well as those related to specific accounts.
  • Perform general office duties such as filing, answering telephones, opening and distributing incoming mail and handling routine correspondence.
  • Perform cash receipt and cash management procedures for ARC
  • Perform other duties as requested

Customer Request Operator

AQHA is currently seeking a Customer Request Operator for the Production and Processing department located in our international headquarters in Amarillo, Texas.

Position Summary:

Operate data entry device, such as keyboard or scanner, to enter customer requests.  Enter payments received and balance transactions.   Provide assistance for specialized duties and answer internal calls to provide support as needed.

Essential Functions:

  • Read source documents and enter data in specific data fields for subsequent entry, using keyboards or scanners.
  • Compile, sort and verify the accuracy of data before it is entered.
  • Compare data with source documents, or re-enter data in verification format to detect errors.
  • Store completed documents in appropriate locations.
  • Locate and correct data entry errors, or report them to supervisors.
  • Maintain logs of activities and completed work.
  • Select materials needed to complete work assignments.

 Additional Responsibilities:

  • Assist with telephone customers on a daily basis.
  • Assist to sort and open mail on a daily basis in the mailroom.
  • Assist with walk-in customers as needed.
  • Review scanned documents to ensure proper classification.
  • Provide assistance to specialized accounting duties, which could include rushes, internet transactions, advertising accounts and various other duties.
  • Assist co-workers as assigned by the supervisor or department head.

Museum Customer Service Representative

AQHA is currently seeking a Museum Customer Service Representative for the Hall of Fame and Museum located in the Hall of Fame and Museum in Amarillo, Texas.

Position Summary:

Welcome and interact with customers to collect admission and provide information to visitors at the American Quarter Horse Hall of Fame and Museum. 

Essential Functions:

  •         Greet customers and ascertain what each customer wants or needs.
  •         Describe merchandise and explain use, operation, and care of merchandise to customers.
  •         Recommend, select, and help locate or obtain merchandise based on customer needs and desires.
  •         Compute sales prices, total purchases and receive and process cash or credit payment.
  •         Answer questions regarding the museum and surrounding area.  
  •         Maintain knowledge of current sales and promotions, policies regarding payment and exchanges, and    security practices.         
  •         Maintain records related to sales.
  •         Prepare merchandise for purchase.
  •         Watch for and recognize security risks and thefts, and know how to prevent or handle these situations.
  •         Exchange merchandise for customers and accept returns.
  •         Clean shelves, counters, and tables.
  •         Bag or package purchases, and wrap gifts.
  •         Requires week-end work.

 Additional Responsibilities: 

  • Assist with the development and management of volunteer docent program.
  • Assist with the development and management of facility rental program.
  • Answer incoming telephone calls.
  • Assist in preparing end-of-day reports.

Customer Care Representative 

AQHA is currently seeking Customer Care Representatives for the Customer Care department located in our international headquarters in Amarillo, Texas.

Position Summary:

Interact with customers to provide information in response to inquiries about programs, products and services and to handle and resolve inquiries by answering incoming direct line telephone calls, 800 number lines, e-mails and social media.  Assist customer if possible or route calls to appropriate department.

 Essential Functions:

  • Confer with customers by telephone or in person to provide information about products or services, take or enter orders, cancel accounts, or obtain details of complaints.
  • Check to ensure that appropriate changes were made to resolve customers' problems.
  • Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken.
  • Resolve customers' service or billing complaints by performing activities such as exchanging records, refunding money, or adjusting bills.
  • Complete customer request forms, prepare and complete change of address records, or assist to complete documents, using computers.
  • Refer unresolved customer grievances to designated departments for further investigation.
  • Determine charges for services requested, collect deposits or payments, or arrange for billing.
  • Solicit sales of new or additional services or products.
  • Obtain and examine all relevant information to assess validity of complaints and to determine possible causes.

Mailroom Clerk

AQHA is currently seeking a mailroom clerk for the Production & Processing department located in our international headquarters in Amarillo, Texas.

Position Summary:

Perform duties to open and prepare incoming mail for scanning the American Quarter Horse Association.  Review, prepare and scan incoming correspondence.  Enter tracking numbers in the computer system for FedEx, UPS and USPS packages received.  Deliver incoming mail and interoffice mail throughout the building.

Essential Functions:

  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
  • Open, sort, and route incoming mail and prepare outgoing mail.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Compute, record, and proofread data and other information, such as records or reports.

Exempt (Salary) Open Positions

Exempt employees can be found in the Association in a variety of departments that are critical to the overall business planning and strategic business decisions for the future of the Association like Marketing, Accounting, Publications, Human Resources and other areas. Many people applying for these positions have established careers in the associated fields and corresponding degrees and professional certifications. Like our Non-Exempt employees, opportunities for advancement exist and we are looking to fill our team with people who love the American Quarter Horse and want to share that love with others.
